Position Overview
Responsibilities:
- With oversight from Controller, maintain and update Janus’ Business Travel Policy
- Review and audit expense reports daily for completeness ensuring compliance with company policies
- Verify supporting documents are valid and support amounts claimed
- Understand and correct allowable versus unallowable charges under the JTR
- Point of Contact with our travel agent for web-based travel agent system (Concur) and reports available to aid in reconciling
- Monitor booked travel for missing expense reports
- Track open tickets by airline and reassign to other travelers as needed
- Prepare travel reconciliations between ERs filed, corporate credit card, and travel reports
- Communicate with travelers and Management for non-compliance and proactively work directly with travelers to resolve discrepancies
- Educate users on company travel and expense policies to eliminate non-compliant behaviors
- Provide support to employees on the use of Janus’ T&E system (Deltek Costpoint)
- Provide monthly travel-related metrics to help improve compliance and performance
- Monitor credit card usage for compliance that purchases are travel-related only
- Review travel advance requests in Costpoint in accordance with company policy
- Assist in the preparation and data gathering for external and internal audits
Mandatory Requirement
- Requires a Bachelor’s degree with 5+ years’ experience as a Travel Coordinator, Travel Administrator, or Expense Report Administrator handling expense reports and travel reconciliations or similar
- Familiarity with JTR regulations, including allowable and unallowable expenses
- Prefer experience with Deltek Costpoint Expense Report module, American Express @ Work reporting and coordinating with travel agents
- Proficient PC skills including MS Office
- Ability to work independently and multi-task with attention to details while meeting deadlines
- Problem-solver with a solution-based attitude
- Collaborative and team player with a focus on customer service
- Eager to provide input for process and system improvement
- Proactively report issues, concerns, results, etc. to Controller
